This Privacy Policy describes how H2O Hand Car Wash (“H2O,” “we,” “us,” or “our”) collects, uses, shares, and protects information when you visit our website, create or use a VIP account, receive text or email from us, purchase services, or interact with our staff at the lane. It applies to our public website, VIP account tools, staff-operated kiosk and portal systems, and related services (collectively, the “Platform”).
Information We Collect
Information you provide. We collect information you give us when you contact us, are added as a VIP by staff, complete account setup, sign in to your account, add or update vehicles, purchase services, or communicate with us. This may include:
- Name, email address, and mobile phone number
- VIP account ID and account credentials (passwords are stored only as secure hashes)
- Vehicle details such as license plate, make, model, color, and nickname
- License plate photos you choose to upload
- Staff or customer notes, purchase selections, and messages you send us
- Marketing or communication preferences, including email and SMS consent or opt-out status where available
- Records of your acceptance of our Terms and Conditions and this Privacy Policy
Information collected automatically. When you use the Platform, we may collect technical information such as IP address, browser type, device information, pages viewed, referring URLs, session identifiers, cookies, and similar usage data needed to operate, secure, and troubleshoot the service.
Information from lane and staff activity. When staff use H2O tools to find your account, record a sale, redeem credits, apply annual pass perks, or assist with check-in, we collect information about those actions, including staff user, location, time, package or service purchased, payment status, and related notes.
How We Use Information
We use personal information to:
- Provide car wash and detailing services and operate our locations
- Create and manage VIP accounts, vehicles, purchases, credits, and annual pass perks
- Identify vehicles at the lane and keep service history accurate
- Send account status communications by email or SMS, including account-setup links, receipts, secure vehicle-add links, service notices, and account support messages
- Send promotional email or SMS only where we have recorded consent or another lawful basis to do so
- Authenticate users, prevent fraud, enforce our terms, and protect the Platform
- Improve operations, customer service, and the reliability of our systems
- Comply with law, respond to lawful requests, and resolve disputes
We do not sell your personal information for money. We do not use personal information for unrelated third-party advertising profiles.
Account Status Communications
We use the email address and mobile phone number on your VIP account to send account status communications through our email, SMS, hosting, and delivery providers. These are service-related messages needed to create, operate, secure, or support your account and H2O services.
Account status communications may include account-setup links, password or sign-in notices, receipts, purchase or account balance information, secure vehicle-add links, service updates, support responses, security notices, and other operational messages related to your account or services. These messages are separate from marketing communications and may be sent even if you opt out of promotional email or promotional SMS, unless applicable law requires otherwise.
If staff create a VIP account for you and you provide a mobile number, we may send an automated text with a secure link so you can finish account setup, set a password, and accept our Terms and Privacy Policy. If you provide an email address during account setup, we may use it for account sign-in, receipts, secure links, service notices, and account support.
Marketing Communications
Marketing communications are separate from account status communications and are optional.
Email marketing. We send promotional email only when we have recorded promotional email consent for your account. You may unsubscribe from marketing email using the instructions in the message or by contacting us.
SMS marketing. We send promotional or informational texts about H2O services, annual pass perks, locations, and offers only when we have recorded promotional SMS consent for your account. Consent to receive marketing texts is not required to buy goods or services from H2O.
SMS opt-out and message details. Marketing texts include an opt-out instruction. You may opt out by replying STOP to a marketing text from us, where supported by the sending number, or by contacting us through our contact page. Allow a reasonable time for opt-out requests to be processed. Message and data rates may apply. Message frequency varies. Carriers are not liable for delayed or undelivered messages. For help, reply HELP where supported, or contact us directly.
Payments And Transactions
When you pay for a wash or related service, payment card details are entered or processed through our payment providers or lane payment tools. H2O stores transaction references, payment status, amount charged, package or service purchased, staff user, location, vehicle associated with the sale, and related receipt information. We do not store full payment card numbers in our VIP account database.
Vehicle Photos And Automated Processing
If you upload a license plate photo through a secure customer link or staff-assisted flow, we store the image and may use automated processing to suggest or extract a plate number. Staff or you confirm the vehicle information before it is saved to your account.
How We Share Information
We share information only as needed to run H2O and the Platform, including with:
- Service providers that host our website and applications
- Payment processors and point-of-sale partners
- Email and SMS delivery providers
- Vehicle photo storage and processing providers
- Security, analytics, and customer-support vendors working on our behalf
These providers are authorized to use information only as needed to perform services for H2O. We may also disclose information when required by law, court order, or government request, or when we reasonably believe disclosure is necessary to protect customers, staff, our business, or our systems.
If H2O is involved in a merger, acquisition, financing, or sale of business assets, customer information may be transferred as part of that transaction subject to appropriate confidentiality protections.
Cookies And Similar Technologies
Our public site, VIP account tools, kiosk tools, and staff portal may use cookies, local storage, or similar technologies to keep you signed in, protect forms, remember session choices, measure performance, and operate the Platform. You can control cookies in your browser, but some account and portal features may not work correctly without them.
Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. These include access controls for staff tools, hashed password storage, transport security for web traffic, and limited access to service providers who need information to support H2O operations. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Retention
We retain customer, vehicle, purchase, messaging, and account records for as long as needed to provide services, manage VIP accounts, maintain business records, meet legal obligations, resolve disputes, enforce agreements, and protect our systems. We may remove or anonymize information when it is no longer needed for these purposes, subject to legal and operational requirements.
Your Choices And Rights
Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of certain personal information, or to object to or restrict some processing. You can also:
- Update contact information and vehicles through your account or by asking staff
- Opt out of marketing email using unsubscribe instructions in the message
- Opt out of marketing SMS by replying STOP
- Ask questions about your information by contacting us
Some purchase, billing, fraud-prevention, and legal records must be retained even after an opt-out or correction request. We may need to verify your identity before responding to certain requests.
Children
The Platform is intended for vehicle owners, drivers, and customers using H2O services. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us so we can review and take appropriate action.
Changes To This Policy
